A Certified Copy is a notarized statement confirming that a copy is a true and accurate reproduction of the original document. Please make sure the location you are choosing has a working copy machine that the notary can use. If the place of business charges for copy service, it is required for the customer to pay the organization.

Documents a Colorado Notary Can Certify as True Copies

A Colorado notary may certify a copy of an original document that is:

  • Non-recordable

  • Privately issued

  • Not a government-issued vital record

Common examples include:

  • Passports (copy certification only, not notarizing the passport itself)

  • Driver’s licenses or state IDs (copy certification only)

  • Social Security cards (copy certification only)

  • Diplomas and transcripts (if not issued as certified copies)

  • Business records

  • Contracts and agreements

  • Powers of attorney (copies)

  • Medical or insurance documents

The notary compares the original document to the copy and certifies that it is a true and accurate reproduction of the original presented.

Documents a Colorado Notary Cannot Certify

Colorado notaries cannot certify copies of recordable or vital records. These must be obtained as certified copies directly from the issuing agency.

This includes:

  • Birth certificates

  • Death certificates

  • Marriage certificates

  • Divorce decrees

  • Court records

  • Recorded real estate documents

For these documents, you must request a certified copy from:

  • The Colorado Department of Public Health & Environment

  • The county clerk and recorder

  • The issuing court

Prepare For Your Appointment:

  • All signers must present a valid, government-issued photo ID at the time of notarization.

  • If you do not have an ID you may bring a credible witness: (Someone who you know personally, can attest to your identity, is an impartial party, and has an acceptable form of ID)

  • Don't Sign Ahead of Time: Wait to sign or date anything on the notarial certificate until you're in front of the Notary.

  • Check the Document: Read the document carefully for any witness clauses; if it says "witnessed by," you need witnesses. If your document requires one or more witnesses, you must provide them, as your notary cannot be considered a witness on a document they are notarizing.

  • Ensure the document is filled out. If spaces are intentionally left blank, please put a line through them or write N/A
